Homeowners Association

Conlin Community Management is the homeowner association management division within Conlin Properties dedicated to serving the financial management, communication, and physical maintenance needs of homeowner associations in central Iowa.  Our team approach to community association management is unique and it is our feeling that this approach makes us better able to serve the needs of our client associations.

Conlin Community Management joined the Community Association Institute (CAI), the professional trade association for HOA’s, in 2003 and became the first HOA management company in Iowa to do so.  CAI conducts training for managers and board members alike and publishes best practices that we believe should become common place for a well-managed HOA. 

Our current portfolio includes about 50 HOA’s ranging in size from 14 units to more than 300 units and consists of townhomes, condominiums and single family properties totaling almost 3500 units under management.  We manage properties that are new and others that have been established for several years.  We can also help developers and new boards manage the transition from a developer-controlled HOA to a homeowner-governed HOA.

Technology - Conlin Community Management provides an on-line management system designed specifically for the HOA management industry through which homeowners may pay association dues, enter maintenance requests, view their account, and access information concerning their association such as governing documents, policies, and board minutes instantly and securely. Providing homeowners with association information 24 hours a day, seven days a week from the comfort of their home, results in both happier and more informed homeowners.

Reserve Studies - Conlin Community Management is a strong advocate of an HOA obtaining a reserve study from a qualified specialist in order to maintain and ideally increase the value of the association. A reserve study develops a financial plan which outlines capital funding needs so the association may establish and fund reserves to ensure the association has money available as needs arise. This CAI best practice is a cornerstone for sound HOA financial management and is viewed favorably by lenders, insurers and potential homebuyers alike.   Conlin Community Management has working relationships with national firms but is willing to work with any Reserve Study provider the HOA board selects

Homeowner Questionnaires and Certifications – As a service to our clients, Conlin Community Management provides this service in-house at a fraction of the cost when compared to management companies that outsource this function to third-party vendors. 

Maintenance - Conlin Community Management has established relationships with several contractors in the area with a wide variety of expertise.  The association manager will obtain bids and hire vendors per the HOA board’s direction.  Moreover, the manager will follow-up with the vendor until the job is done to the board’s satisfaction. For smaller jobs, CCM employs a maintenance professional for quicker service.

Collections - Conlin Community Management has established a successful process for collecting unpaid dues. Association managers send letters to homeowners with past due accounts and generally that is a sufficient reminder for payment.  However, accounts that remain delinquent are turned over to an attorney for resolution. Conlin Community Management has working relationships with law firms for this purpose but will work with any law firm the HOA board chooses.

Communications - Conlin Community Management allows your association to work with our advanced communication and management system which proves advantageous as it allows the Board of Directors, homeowners, and the property manager to communicate easily.  Each homeowner has 24 hour access to their account information and association documents.  The website also allows homeowners to pay dues online, realtors to access association covenants, and mortgage companies to access condominium questionnaires for all closings.
